Event Reins Privacy Policy

Event Reins is operated by DewWow LLC. This page explains what Event Reins collects, why, and who can see it. Our full DewWow Privacy Policy is at https://www.dewwow.com/privacy.
What we collect
- Your account: your name, email address and phone number, and a scrambled (hashed) copy of your password.
- Riders: name, date of birth (to place riders in junior or adult divisions), amateur or professional status, association membership numbers, and an emergency contact.
- Horses: name, registration and microchip numbers, breed, and the documents you upload, such as a negative Coggins test, health certificates and vaccination records, with their expiry dates.
- Entries: the classes you enter, your back number, your bill and your results.
- Waivers: when you sign an organizer's waiver, we record the name you typed, the time, your device's internet address, and the exact text you agreed to, so the signature can be proven later.
- Organizers: the organization's details, its staff accounts, and the shows, classes and fees it sets up.
- Visit logs: our servers log each visit's internet address, page and browser, for security and troubleshooting.
Payments
Payments go directly to the show organizer through Stripe. Stripe handles your card details under its own privacy policy. We never see or store your full card number. We keep only a payment reference and its status.
Who can see your information
- The organizer of each show you enter sees what that show needs: your riders, horses, documents, entries, bill and signed waiver.
- Organizers of shows you have not entered see nothing about you.
- A parent or guardian who manages a junior rider's profile sees and manages that profile.
- The public sees what organizers publish: show calendars, class lists and results, which include the names of horses and riders and their placings.
- DewWow staff can see information when needed to support the service.
- Our service providers handle data only to run the service: DigitalOcean (hosting in the United States), Google Workspace (email) and Stripe (payments). Each keeps what it receives under its own privacy terms.
We do not sell your information.
Sponsors
Event Reins shows messages from sponsors, chosen by the page you are on, such as a show, a discipline or a region, never by tracking you. We do not share your personal information with sponsors. Sponsors receive only totals, such as how many times their message was shown and clicked.
Cookies
Event Reins uses only the cookies it needs to work, such as keeping you signed in and remembering your language. There are no advertising, analytics or third-party tracking cookies.
Children
You must be 18 or older to create an account. A rider under 18 is added and managed by a parent or guardian, who is responsible for that profile. We do not knowingly collect information directly from children under 13.
How long we keep information
- Accounts: when you close your account, we delete your profile within 30 days.
- Show records: entries, bills, results and signed waivers are kept by the organizer who ran the show, as part of that show's records.
- Backups: deleted information can remain in our backups for up to 30 days, until they are replaced.
Security
Your information travels over encrypted connections and is stored encrypted on our servers and in our backups. Passwords are hashed. Each organizer's data is kept separate from every other organizer's.
Your rights
You can see, correct or delete your information in your account, or ask us at support@dewwow.com. Organizers can answer questions about the records of their own shows.
Changes
We may update this policy from time to time. We will post the new version here and update the date.
