This guide follows a show day in order. It all runs from your show office: sign in, choose the show, and its Console opens, on a laptop, a tablet or a phone.
The week before
- On the show's Rings, add each ring. Give each class its ring, day, start time, minutes per trip and order of go, and Save. Then Draw the order and Set ride times, or Order by hand. Late entries go to the end.
- On Screens, give each judged class its judge's card and send the judge its link. Put each ring's scoreboard link on an arena screen. Copy the announcer's link under Announcer and open it at the announcer's stand: it shows the announcer's screen and nothing else, with no sign-in. Make a new link closes the old one.
- In Settings, Invite everyone working the office or the gate, so each has their own sign-in. All can run the show; managers can also make other staff managers.
- Print a backup from the Console: back-number cards, the entry list and the class sheets. On Rings, Print the in-gate list for each class.
- The day before, sign in on the in-gate tablet as the person who will run the gate. Open the Console and each ring's in-gate (Open the in-gate on Rings), then open them all once more so the tablet saves them. Pages saved in the last two days keep working if the internet drops.
More on rings, ride times and screens: Show day: check-in, adds and scratches, ride times.
The morning: the check-in desk
- On Papers, Verify each Coggins or paper an exhibitor uploaded, or Reject it with a reason they see.
- Find a number, horse, rider or account on the Console, or scan the QR code on the back-number card.
- Check in works when a Coggins valid through the last day is on file and the waiver is signed, if your show requires them (Setup, under Requirements).
- Seen it on paper? Use Check in anyway and say why. Your reason is kept with the number.
- For a walk-in, choose A walk-in at the desk on the Console, enter the account holder, horse, rider and classes, and Give a back number. Walk-ins don't sign the waiver online: on their number's page, use Waiver signed on paper at the desk and Coggins seen at the desk for what your show requires, then Check in.
- Back numbers go out in order from the First back number on Setup.
Running the rings
- At the in-gate, choose Start this class, then Next trip as each horse goes, No show for one that doesn't come, and Class finished at the end. Each Next trip also updates the times families see, using the ring's real pace.
- In a timed class, type the time in Time, with any barrels down or penalty, and choose Save time, next trip.
- Break, with a note such as drag until 11:00, pauses the ring, and families see the note on My day and your show page. Resume starts it again.
- Set order on the in-gate shows only until a class starts, and asks first. An order you set by hand keeps its numbers.
- Adds and scratches go through the desk: find the number on the Console, then Add class or Scratch. The bill follows.
- A class's Alert at, on Rings, is 5 trips unless you change it. When a horse comes that close, its account holder gets an email with the estimated time, and a notification where they turned alerts on. Text message alerts are coming.
- Running late? Messages emails everyone entered in the show, a division, a class or a ring.
Results
On Results, choose Enter results on a class:
- Placings only: type each place.
- Scores, percentages, faults and times: enter them, then Place from scores. Ties share a place.
- Barrels and poles: Place from scores also sorts the D-splits and the payouts, and the Payout sheet lists every check to write.
- Dressage test points become percentages from the test's maximum points, and 4-H scores get their Danish ribbon.
- A judge's card fills in each score as the judge saves it.
Tick Out for an entry eliminated or retired, then Post results. The arena scoreboard shows the leaders as scores and times go in; the rest waits for posting. Then results go on your show page and follow links, each placed exhibitor gets an email with a result card, and points count toward champion and reserve. Reopen the results to correct a class: posting again sends the emails again. More in Post results and series standings.
A finals class takes only horse-and-rider pairs that qualified in its points series, and Add a class at the desk shows whether a pair did. For one that qualified elsewhere, add the class, then Enter anyway with your reason.
When the internet drops
- Office and in-gate pages saved on that device in the last two days keep working.
- Check-ins, adds, scratches, payments, results and in-gate buttons are kept on the device, and a bar at the foot of the page counts them.
- A change the office can't save when it's sent shows in that bar as not saved, and its See why button lists the reason. Do it again by hand, then dismiss it.
- The screen doesn't move on while you're offline. Press Next trip once for each horse, and keep your place on the printed in-gate list.
- Back online, the changes are sent in the order you made them, and alerts and result emails go out.
- Uploading papers, judges' cards and paying online need a connection, and scoreboards keep what they show until it's back.
The end of the day
- To take a payment, open the number, check the amount, choose Cash, Check or Card at the office, then Take payment and settle. The bill becomes an invoice you can send with Email the invoice, and anything added later starts a new bill. A bill paid in full online shows Settle up instead.
- With Stripe connected, an exhibitor can scan the Pay by phone code and pay online. See Connect Stripe, or take payment at the show.
- Record credit takes money off with a reason. Once a bill is settled, a scratch still takes the class out of the order of go, and its fee stays on the bill: record a credit if you refund it. Refund to card sends money back to a card paid online.
- On Bills, Still due lists who owes. Balance totals a day's money by cash, check, card and online, to print for your treasurer.
- Prize money, in your show office, totals each payee's speed-class payouts and sidepots for the year and flags anyone at $600 or more. Keep W-9s yourself and choose Mark received.
- For a sanctioned show, Results has Download the NBHA results sheet for your state director, due within seven days, and Download the USDF results sheet for USEF's Universal Results Template.
- Your own assistant, in the menu under your name, can look things up once you connect it, such as who still owes, and makes changes only if you switch them on.
On the day, a person checks
Before the gates open, try these on the real phone and tablet:
- Sign in on each device with that person's own account.
- On the tablet, open the in-gate, turn on airplane mode and open it again. It should still open, with the offline bar. Turn airplane mode off.
- Scan a back-number card's QR code with your phone: it should open that number.
- Open each scoreboard link on its screen, and the announcer's link at the stand.
- Have each judge open their link on their tablet.
- Timing with a FarmTek Polaris? In Chrome or Edge on the gate's computer, choose Connect the timer and check that a time lands in Time. We're still trying this with real timers, so check each time before you save.
